What we need

We are looking for a proactive and passionate Personal Assistant to provide the full PA scope of responsibilities to our two co-founders (Steve and Cal).

This role is required to provide proactive and professional PA/administrative support along with overall responsibility for our Paddington clubhouse which hosts a variety of community days, Daemon workshops and collaboration sessions, not to mention our monthly inductions.

About you

As Executive Assistant, you’ll be working with the Co-Founders, to support their diary management and other administrative tasks. You will have experience of working with C-Level executives, be highly organised to deal with the ever changing demands of the business and confident to manage all your stakeholders.

Your responsibilities

You will be responsible for a wide range of activities including:

  • Working with the founders on a day to day basis ensuring that they are kept aware of key meetings and have the information they need

  • Managing their diaries and providing holistic support to enable them

  • Provide responsive and professional day to day management of their emails

    Specific duties of the role include:

  • Maintenance and management of the Paddington clubhouse – Main point of contact

  • Diary management for founders including booking all travel

  • Coordinate weekly exec meetings providing meeting minutes

  • Arranging monthly and quarterly board meetings ensuring an accurate dashboard is maintained for each meeting

  • Arranging lunches/dinners and other meetings and ensuring meeting rooms, catering, restaurants etc are booked

  • Supporting the founders with seeing up of client events; (managing guest lists, sourcing venues, arranging catering, menu tasting, IT equipment, photographer, travel and accommodation and budgeting etc where relevant).

  • Assist in the finalisation documents and other presentations in particular ensuring that documents are in the correct format and on brand.

  • Maintain local electronic files to ensure compliant with audit regulations.

  • Prioritise work effectively by virtue of urgency and importance.

  • Processing invoices and expenses in timely manner, including chasing for appropriate sign-off

Experience

  • Demonstrable track record of organisation and administration skills

  • Ability to prioritise tasks and juggle conflicting deadlines

  • Organisational awareness and understanding of structure and culture

  • Highly presentable, friendly and articulate individual, able to build relationships at all levels quickly both internally and externally

  • Excellent communication skills

  • Ability to organise while paying close attention to detail.

  • Self-starter with a proven ability to use their initiative and be forward thinking

  • Team-oriented with strong integrity and professionalism

  • Ideally experience of working within a scale-up environment

  1. 1. Submit your CV

    This is the really easy part. Attach your CV to an email and send us a message! Feel free to include anything that will inform, educate or entertain us too!

  2. 2. We’ll call you

    Our Recruitment Team is now on the case. We’ll be in touch within 24 hours for a short call (about 20 mins) to discuss you, the role and what you want to do in the future.

  3. 3. First interview

    Within 48 hours of the initial call we move to the Interview phase. The first is with one of our Heads, it’ll be a call, video chat or a face-to-face. We’ll dive deeper into your suitability for the role and get into a few more specifics. This will typically last 45mins to an hour.

  4. 4. Final Interview

    The final interview will be at our Central London office, for this the Head of your team will be joined by one of our Founders. We’ll look to see how you’ll fit in with the Daemon Team, this will include covering the role in depth and more on the Daemon culture, values and vision for the future.

  5. 5. Offer/Feedback

    We make a commitment to come back to you within 24 hours after your final interview. This will be with an offer to join the team or detailed feedback as to why you weren’t successful this time.
